Microsoft 365 and Office 365 are the same product suite. Office 365 was Microsoft’s old name for the collection of apps like Word, PowerPoint and Excel. You might still hear people talk about ‘Office 365’ when they’re referencing legacy desktop versions of those apps. Generally, though, all Office 365 products are now Microsoft 365 products.
Copilot is a chatbot that uses OpenAI’s large language models (LLMs). Unlike ChatGPT and other commercially available chatbots, it integrates natively with Microsoft 365. That means – if you have Copilot enabled – it can access all emails and calendars in Outlook and all files in SharePoint and OneDrive. It can also crawl the internet (retrieval-augmented generation (RAG)) to formulate up-to-date responses.
Microsoft 365 is almost always a better option for businesses that use Windows – especially if you want to focus on security best practices. The 365 stack has much better administrative and management tools, which makes it easier to run your IT as efficiently as possible. The apps themselves are generally more feature-rich – even Google Docs, for example, lacks basic functions that Microsoft Word includes (such as the ability to easily work offline).
Google also has an unpleasant habit of unexpectedly deprecating apps it no longer wants to support, which cause problems when that app happens to be critical to your business workflows. (Microsoft, on the other hand, has generally solid legacy support.)
Finally, most of your staff have probably spent their careers working with Microsoft apps. Trying to switch to Workspace – a new, unfamiliar ecosystem that struggles with many of the things Microsoft does well – doesn’t make financial or operational sense.
Microsoft 365 is, arguably, the most secure digital workspace in the world. Your data is protected to standards like the General Data Protection Regulation (GDPR) and ISO 27018; it also won’t be shared or used by Microsoft without your consent.
You can even choose where you want to store your data. If you wanted to make sure its storage complied with Australian privacy laws, for example, you could nominate a data centre in Australia to host your 365 cloud.
